Job Description:

  • Answer phone calls, answer questions, and respond to emails.
  • Prepare expense reports and office budgets.
  • Manage office supplies and order new supplies as needed.
  • Systematic archiving of important company documents.
  • Forward all correspondence, such as letters and packages, to employees.
  • Meeting planning and conference room reservations.
  • Hire maintenance contractors to repair or replace damaged office equipment.
  • Assist HR with job offers and interviews.
  • Greet and guide visitors, answer phone inquiries and handle complaints politely and professionally, or send records to other departments.
  • Ensure the confidentiality and safety of guests files and storage systems.
  • Coordinate schedules, arrange meetings, distribute memos and reports, and ensure everyone is kept up to date with essential company news and information.
  • Use copiers, fax machines, printers, or other necessary equipment.
  • Manage office supplies and orders.
  • Prepare regular reports on office expenses and budgets.
  • Maintain and update company databases.
  • Organize important documents and confidential.
  • Update office policies as needed.
  • Maintain company schedule and schedule appointments.
  • Book meeting rooms as needed.
  • Distribute and archive correspondence (e.g. letters, emails and packages).
  • Prepare reports and presentations with statistical data, as assigned.
  • Arrange travel and accommodation.
  • Plan party events inside and outside.

Job Requirements:

  • High School Diploma or GED.
  • Having a bachelor’s degree in business administration or business management is an advantage.
  • Proven experience working in an office environment.
  • Proficient in all Microsoft Office applications.
  • Working knowledge of business management.
  • Ability to multitask.
  • Great sense of organization.
  • Effective communication skills.
  • Outstanding customer service skills.
  • Good organization, time management and planning skills.
  • Basic accounting experience, especially accounts payable/receivable.
  • Experience in using office management software including word processor documents and spreadsheets.
  • Minimum typing speed of 60 wpm and few errors.

 

Terms of Employment:

  • Full time
  • Permanent
  • 40 hours per week
  • Day, Evening, Shift, Overtime, Morning

 

Salary: $18.00 – $25.38 per hour

 

Required Years of Experience: 1 year to 2 years
